Activities

Activities is an efficient and user-friendly feature that allows you and your team to view all the tasks assigned to you across your entire atmosai.io account. It provides a comprehensive overview of all your work in one place, making it easy to manage and visualize everything that needs to be accomplished. With Activities, you can stay on top of your tasks and ensure that nothing falls through the cracks. 

What is Activities?

The Activities function combines all the tasks designated to you into a single location, removing the inconvenience of navigating between multiple boards and dashboards. Using Activities, you can conveniently monitor all your pending tasks and tailor the display to suit your liking.

How does it work?
 
To initiate the utilization of Activities, select the calendar checklist icon on the left-hand side of your atmosai.io profile. You can quickly identify this icon as it will be named “Activities” when you hover over it with your mouse.
 

If you have an Owner Column and are assigned tasks, the “Activities” section will exhibit all the tasks designated to you from diverse boards within your account. Moreover, as an admin, you can modify the customization preferences to view tasks assigned to other team members. 

What information can I see?

The configuration of items and subitems in Activities is identical to that on your boards. Take a look at the layout of the Activities.

Layout of Activities

Viewing your subitems in the “Activities” feature will appear similar to your main items.  In the admin view, you can see everyone else’s associated tasks and the clients that they pertain to.  As well as timelines, notes, status, and more.

How do items appear?

On the activities page, you can categorize groups in any way that you would like.  For example, if you wanted to have three different groups, such as: “Active, Completed, and Archived,”  

Note: You can also see your activities in a calendar view to see all the tasks for that month. 

 

Search for items in Activities

If you feel somewhat distracted by the large number of items visible in “Activities,” rest assured, you’re not the only one. As some items may not always be pertinent, we’ve integrated a keyword search bar to help you filter your items and quickly locate what you need.  At the top of the page find the Magnifying glass and search for any particular activity you want too!

Hiding Columns

In our activities page you can also hide columns depending on what you need to see in this page.  

Tip: When you finish an activity click on the three dots next to an activity and move the activity to the done group.  This is the same process as you would move a client to a different group in the leads board.

 

Check out some other ways you can utilize an item’s drop-down menu:

 

  • Conceal a board
  • Pick a distinct Status Column to exhibit for each board
  • Choose a different Date Column to display for each board
  • Archive either an item or subitem
  • Erase either an item or a subitem
 

Customize what you see in Activities

You can personalize your Activities settings to suit your preferences, from selecting which boards and columns are displayed to which people are included. To access the customization settings menu, click the “Customize” icon and choose the boards, columns, and people you wish to view.

  • People 
 In the Activities section, you can choose whose assigned tasks you want to view. This can be either you or any member of your team or guests in your account.
  • Boards

You can show or hide items from specific boards in your account to tailor your view of Activities to your preferences. By default, all boards are visible in Activities. If you want to hide a board, you can click on the blue box on the right of the board’s name.

Note: The boards you hide in Activities are only hidden within Activities and not anywhere else in your account. 
  • Status and Date Column

To customize which Status or Date Columns are displayed for each of your boards in Activities, you can use the drop-down menu. If a board has multiple Status or Date Columns, you can choose which ones you want to see. If a board only has one Status or Date Column, it will be automatically displayed by default.

Attention: To arrange your items in chronological order, Activities utilize the chosen Date Columns. If you haven’t selected the appropriate Date Columns, your upcoming items may not appear in the correct section of Activities.

Edit items without leaving Activities

You don’t have to switch between Activities and your boards to edit items. You can edit items directly from Activities by clicking on any section or clicking on the item’s name to open the Item Card. From the Item Card, you can edit anything, including updates, and any changes made will automatically appear on the board.
