Do you want to share particular boards or views with your customers without requiring them to log into their accounts? Are you looking to keep your entire team on the same page by showcasing a board on a television screen in your office? You can achieve these objectives by utilizing the “share view” functionality.

Note: The shared view can be utilized on your primary board table, a filtered board, and all other board views.
 

How to share your board or view

Only the owner of the board can share a board view.

If you own a board, you can initiate the process of sharing the board or a board view by clicking on the three-dot icon to the right of the board or view name. After doing so, a menu will appear, and you should select the “Share” option from this list, as shown below:

Note: Enabling the HIPAA feature on the Enterprise plan will disable the feature that allows sharing of boards/views. This measure is implemented to prevent any inadvertent disclosure of Protected Health Information (PHI).

At this point, you can modify the name and description of your board or view and then share it with others through a shareable link or by embedding it in a website using an embed code.

If you wish to modify the name and description displayed on the shared board or board view, you can do so by hovering over the respective name or description and clicking on the blue pen icon that will appear. This will allow you to make the necessary edits.

Now, let’s examine both sharing choices, namely the shareable link and the embed code, which are presented below!

  • Shareable Link

You can effortlessly distribute and share your board or view it with others using the “Shareable link” option. Click the “Copy” button, as illustrated below, and then paste the link to share it with anyone you want!

Note:  The shareable link is easily accessed from any browser or the mobile application!
  • Embed code

The conventional method of embedding a board on the web involves using an HTML iframe code. To obtain the code for your board, navigate to the “Embed Code” section and click on the “Copy” button, as depicted below:

Upon successfully copying the Shareable link or Embed code, you will receive a visual confirmation that your board is now “live” and published. You can verify this by looking for a blue banner that appears at the top of the board, as shown below:

Note:  It is important to note that files in a Files Column will not be visible or downloadable within a shared view.

Choose the information you want to display

It is important to remember that while filtered data (items and columns) may not be visible in shared views, it can still be accessed by technically proficient users. If you require further information on this matter, please do not hesitate to contact our team using our contact form.

To determine what information is visible on your board to the public, you can use the board filters or hide columns from the board.

  • Use the board filter

Suppose you are working for an event company and wish to display all the events currently being worked on and considered high priority. You can use the board filter function to create a view based on your specific parameters to achieve this. Once you have applied your filters, save them as a new view.

Once you have completed the above steps, click the “share” button to make it publicly accessible.

By sharing your board view in this manner, only the information that you have selected to display will be visible.

  • Hide columns

You can also hide specific columns from your board so they are not visible to the public. To accomplish this, click on the eye icon at the top of your board and select the columns you wish to display. Once finished, be sure to save your view and assign it a name of your choice

After completing the above steps and sharing your new view, any hidden columns will not be visible to those who access them.

How to set up the shared view in full screen

To set up the shared view in full screen, add “/embed/” after “view. SalesTitan.io/” in the shareable link. For example, change the regular URL “https://view. SalesTitan.io” to “https://view. SalesTitan.io/full” to view it in full-screen mode.

Then, you will see the page in full screen:

How to disable the shared view

As the owner of the board or an account admin, you can turn off the shared view feature whenever you like. To accomplish this, click on the view at the top of your board and then select “Share settings,” then click the “Stop” button.

Tip: To access the shared view settings, click on the blue banner at the top of your board, indicating the board is being shared.

Limitations

The following restrictions apply when sharing a board view publicly:

 

  • Due to privacy concerns, mirrored items won’t be visible in the shared view.
  • If you want subitem data to be displayed in a shared view, you must have enabled the “Show Summary on Parent Item” setting for that particular subitem column.
  • Any columns marked as hidden or with a “restricted column view” won’t be displayed in a shared board view.
