There are numerous methods to rearrange the groups, items, and subitems within a board and transfer them between different boards. By continuing to read, you can discover helpful hints and techniques that will assist you in becoming a skilled user.

Move an item to another group.

You have three options to relocate an item to another board: utilizing the item menu, performing batch actions, or utilizing automation.  However, it’s important to note that if the item is connected to third-party apps through the Integration Column, moving it will sever the connection.  The item won’t be linked to the integration in the original board anymore.

  • Using the item menu

If you want to transfer an item to another board using the item menu, you should click on the three-dot icon located to the left of the item. This will open the item menu. Next, select the ‘Move to Group’ option to display a list of all the boards available. You can either scroll through the list to find the appropriate board or use the search bar to locate it by name quickly.

Once you have chosen the appropriate board to move the item to, a list of all the groups within that board will appear, and you can select the group to which you want to transfer the item.

Note: Before moving a group or item to a different board, ensure that the source and destination boards have the same columns. Otherwise, any information associated with the columns that don’t exist in the destination board will be lost. If you’ve already moved an item and lost some data, don’t panic. At the end of this article, there will be information on how to recover it.
  • Batch Actions

After selecting the destination board, we can choose the appropriate group to move the items to from the menu.

When transferring items from one board to another, specify where the column information destination based on the columns in the destination board. This is illustrated in the example below:

Suppose there are columns in your current board that don’t have a corresponding column in the destination board, like the “Department” column. In that case, you’ll be given options to select a different column or manually create a new column in the destination board where the data will be transferred.

Fortunately, all the necessary information that needs to be transferred is already in the columns of our destination board. Therefore, we can click on the “Move items” button.

This action will move the data from six of our columns to the “New Employee Onboarding” board. However, we will receive a warning message notifying us that the data from the three unmapped columns will be erased during the transfer.

If you have accidentally deleted some data while moving items between boards by clicking “Move items anyway,” don’t panic because you can still retrieve it. Later in this article, we will explain how you can recover lost information in the section titled “How to recover lost information.”

When moving items with subitems, the subitems will be automatically transferred along with the parent item. Just ensure that you also map out the subitem column information in the same way as you did for the parent item.

How to move an item to another group


Two different methods can be used to move an item to another group on our board: via the item menu, batch actions, or dragging and dropping.
  • Use the item menu

In the Recruiting board, we use each item to represent a candidate, and each group represents a phase in the interview process. If we want to move James past the resume review stage and into the HR Interview stage, we can use the selection method.

To do this, we can click on the item menu and choose “Move to” followed by “Move to group.” This will bring up a new menu on the right with all the groups available on the board. Once we select the group to which we want to move the item, the item will automatically move to the new group.

  • Batch Actions

We have two candidates who have passed the resume review and are ready for the first interview stage. To move them together, we can use batch actions by selecting the checkboxes next to each candidate’s name. Once we’ve chosen both candidates, we can see the number of selected items at the bottom of the screen and access the batch actions menu. From there, we can choose “Move to” and select “Move to group.”

When we click on the group, a menu will appear, allowing us to select the group where we want to send our items. Once we choose the group, our item will be transferred. For further information on batch actions, you can refer to this article


How to move a group to another board HOW TO CONVERT A LEAD 

To transfer a group to a different board, click on the group menu (which is the three-dot icon placed beside the group name), then choose “Move to,” followed by “Move to board,” and finally, select the intended destination board from the menu that appears.

It is important to ensure that the destination board has identical columns to the source board so that all the information is transferred accurately. If there is any inconsistency in the columns, an error message similar to this may appear:


How to move a group within a board

We employ the drag-and-drop method to move a group within a board. We needed to change the order of our interview process, so we decided to rearrange the order of our groups to maintain a chronological order that corresponds with our interview stages.
