Board Permissions

On SalesTitan, we provide account permissions, board types, board permissions, and column permissions, among others. In this article, we will examine the available board permissions and restrictions intended to give the board proprietor control over what information can be modified or viewed at the board level.

Getting board permissions

  • Step 1: Choose your board owners

Before configuring board permissions, you must determine who will be the board’s owner(s). The first proprietor is, by default, the individual who created the board. Select the “Invite” icon to the upper right of your board to invite additional owners.

From there, designate a user as a board owner, and click on the greyed-out crest to the right of their name. When the gray crown is clicked, it turns blue. A blue crown signifies that the user can skip any existing board permissions.

  • Step 2: Select your permissions

Click the three-dot menu in the upper right corner of your board to add board permissions. Then, choose “Board permissions” from the menu that appears:

You will then arrive at the permissions center, where you can choose the permissions you wish to implement on your board.

Note: When replicating a board, all board permissions will be duplicated and transferred to the new board.
 

After enabling any board permissions, it is simple to comprehend the enabled permissions on your board and locate the permissions center by selecting the lock icon at the top of your board and then choosing “View permissions settings.”

What are the different permission types?

When configuring board rights, you can either edit permissions and/or view permissions. (available on the Enterprise plan only). Let’s discover the available viewing and editing permissions! ⬇️

Board editing permissions

With the board editing permissions, you have four options: change everything on the board, change the board’s content without affecting its structure, edit items or subitems that users are designated to, and only update items.

Let’s examine the meaning of each option below!

Tip: Check the “Permissions summary” section on the right side of the screen to find out precisely what the selected permission(s) imply for your board.
 

1. Edit everything on the board

“Edit everything on the board” is the default configuration for every board. This means that, for shareable and private boards, every board member can modify the board’s content and structure, add new items, adjust column names, change statuses, and create updates. For main forums, these actions are accessible to all account members, even those who are not subscribed to the board.

  • Integrations & Automations
     

    This setting also permits users to create new recipes, toggle recipes created by others on and off, and delete recipes created by others. Unless they are a board proprietor, they cannot modify another user’s recipes, save any automation recipe as a template, or edit the authentication on an integration recipe.

2. Change the content of the board without affecting its structure.

This permission allows non-board proprietors to add items, delete items, modify the board’s status and cells, move items across the board, and update items. They cannot modify the group or column titles or reconfigure the board’s structure by rearranging the groups or columns. This configuration is ideal if you wish to collaborate on a project with an external visitor on a shareable board while preventing the inadvertent deletion or rearrangement of columns.

  • Integrations & Automations

This setting also permits users to create new recipes, toggle recipes created by others on and off, and delete recipes created by others. Unless they are a board proprietor, they cannot modify another user’s recipes, save any automation recipe as a template, or edit the authentication on an integration recipe.

3. Users can only edit items or subitems to which they are designated.

This permission, available on the Pro plan and higher, restricts non-board owners to edit only the designated items. When selecting this option, the board proprietor will be prompted to choose which People Column to use when configuring permissions.

In addition, the board proprietor can allow users to modify subitems that they are allocated to (regardless of their own items) or not.

  • Integrations & Automations

Only board proprietors will be able to add, modify, and delete automation and integration recipes with the “edit by assignee” permission. This is true regardless of whether the user (who is not the proprietor) previously created the recipe.

Note: All board items will still be visible to all users with this permission setting in place. Check out the “Item Viewing Permissions” section below or this article to learn more about restricting item viewing.
 

4. Write updates on items only

With this permission, only the board’s administrators can modify the board’s structure and content. Other users can only view the board, view and download files from the File Column, and post updates (as well as revise and delete their updates).

This configuration is extremely useful if you want a customer only to be able to observe a shared board and monitor the project’s development! It is also useful for administering an internal directory or other view-only resources.

  • Integrations & Automations

Only board administrators can add, edit, and delete automation and integration recipes. This is true regardless of whether the user (who is not the proprietor) previously created the recipe.

Item viewing permissions

Item viewing permissions are exclusive to the Enterprise plan and enable board owners to determine whether they want all users with access to this board to view all items or only the items assigned to them. This provides an additional control layer and guarantees collaboration in a single location without compromising access to sensitive information!

You can select between the two available viewing permissions from the same board permissions center. The definitions of each option are provided below.

1. View all items on the board

This is the default setting, and anyone with access to the board can observe all items on it.

2. In any “People” column, only items designated to users or created by them will be displayed.

This permission setting ensures that users who have been designated an item in any of the person columns on this board will only be able to view the assigned item. In addition, the creator of an item will be able to view it, and the board owner(s) will be able to view all items.
