Agent Settings

 

To find Settings, choose the Agent tab in the menu, then scroll down and click Agent Settings. You will find three options under Agent Settings, including General Settings, Email Templates and Contract Templates.

General Settings

 

There are multiple settings available here that you may toggle on or off, depending on your business. Let’s quickly review the purpose of each Agent Setting.

 

·      Enable agents to add a new agent: This will allow agents to add an Agent, but this doesn’t mean the agent is automatically approved. The administrative User(s) must approve the added Agent. 

·      Enable agents to manage a team: This will allow every agent to build or manage a team.

·      Enable agents to manage product assignments: Agents will have the ability to assign products to other agents, including themselves.

·      Enable agents to approve sub agents: This will enable the ability for agents to approve other agents in their downline.

·      Enable Automatically approve sub agents: Enable the automatic approval of all sub agents in any downline or company.

       If enabled, Agent status will automatically be set to “Active” if Onboarding is not required. If Onboarding is required and this setting is enabled, Agent Status will show as “Onboarding” until Onboarding is completed, and the Agent Status will then be changed to “Active”.

       If disabled, Agent status will automatically be set to “Pending” if Onboarding is not required. If Onboarding is required and this setting is disabled, Agent Status will show as “Onboarding”. Agent must be manually changed by the User to another status by using the “Edit” Agent function, then by selecting “Agent Status”.

       When referenced above, “Onboarding required” refers to the yes/no selection of the button on the “Add Quick Agent” pop-up box (when adding an Agent). More information on this may be found below under the “Add an Agent” section.

·      Disable sales portal: Enable/Disable sales portal pages access.

·      Disable affiliate dashboard: Enable/Disable affiliate dashboard pages access.

·      Show inactive agents: If enabled, then Agents, Companies, Groups, Vendors will be shown

·      Show Licensing Option: If enabled then Show Licensing option will be shown on Add Quick Agent Modal

·      Show Assign Company/Parent Option: If enabled then Show Assign Company/Parent option will be show on Add Quick Agent Modal

·      For Settings to view correctly in the Agent module, please remember to “Save Changes” at the bottom of the page; once saved, refresh the page for Settings to populate throughout the system.

 

Form Validation:

 

Disable form validation for add/edit agent and company Commissions paid based on a completed sale.

 

Affiliates:

 

Automatically approve affiliates

 

Enable affiliates to add new affiliates: Assign commissions to a specific agent

 

 

Enable agent referral profile page: Show or Hide the agent profile page in referral url

 

 

Enable agent default parent agent: Enable default parent agent option when no parent agent is found for a customer. Here, you must Select Parent Agent.

 

Select default contract template: Select default contract template for onboarding.

Email Templates

 

The Email Templates section of Agent Settings is important, as it will save you significant time and resources. To find this section, choose the Agents tab in the main menu, then scroll down and click “Settings” in the sub-menu. Once in Agent Settings, click the “Email Templates” tab at the top of the page.

 

·      You will see a list of pre-set email templates we have created for you, which may be used to invite an Agent to join your company, let an Agent know that their Onboarding has been completed or something else.

·      Of note, these templates can be edited by you and customized to fit your specific business. To make changes to an Email Template, simply click “Edit” under the Actions tab of the template you would like to edit. To enable the template, click the “Enable” button at the top of the page. You will also see options to alter Template Name, Template Description, Email Subject and Email Content.

·      To make sending emails easier for you, we have also created a list of short codes (available for viewing under the email itself). You may insert the codes in the Subject or Content portion of the email, and the platform will automatically populate that information into your email. To give an example, if you use the [first_name] short code as the first line in your email, then the email will be addressed to the first name of the person listed on the account (in this case, the Agent).

Contract Templates

 

The Contract Templates section of Agent Settings is essential to the Agent Onboarding process (if you would like to send a Contract when your Agent is added). To find this section, choose the Agents tab in the main menu, then scroll down and click “Settings” in the sub-menu. Once in Agent Settings, click the “Contract Templates” tab at the top of the page.

 

Here, we have three preset contract options available for you (Agent, Affiliate and Company):

 

·      These templates can be edited by you and customized to fit your specific business. To make changes to a Contract Template, simply click “Edit” under the Actions tab of the template you would like to edit. You will see options to enable contract and also to adjust Template Name, Template Description and Contract Content.

·      To make sending emails easier for you, we have also created a list of short codes (available for viewing under the email itself). You may insert the codes in the Subject or Content portion of the email, and the platform will automatically populate that information into your email.
